Overall Accountability
The Document Check Clerk, Arts & Culture, delivers professional, accurate and timely administration services for necessary records in support of incoming students. This position ensures full compliance with applicable legislation, immigration regulations and Calgary Catholic School Division records requirements. The Document Check Clerk maintains up to date knowledge of immigration legislation/regulation and Alberta Education requirements for funding foreign-born students.
Specific Accountabilities
- Maintain a comprehensive understanding of all Temporary Resident Visa categories (Work permit, Study permit, Visitor), and processing and requirements for each application.
- Liaise with families, school staff, and internal departments to support newcomer registration processes.
- Collect, verify and review information and documentation from families.
- Ensure that student applications and supporting documents are reviewed and completed in a timely manner meeting required deadlines.
- Act as the primary point of contact for school newcomer registration, inquiries at all stages; initiating files and providing schools and families with status updates throughout the life cycle.
- Conduct research and leverage government resources to ensure processes are current and appropriate documents are being used.
- Lead and guide Newcomer team in reviewing student applications, immigration, Alberta Education and district required documentation.
- Schedule appointments and meetings with families as needed.
- Additional spoken languages are considered an asset.
Qualifications
- High school diploma or equivalent
- Certificate/diploma in related field preferred
- Demonstrated successful experience working in the immigration sector or related field.
- Experience with immigration applications preferred.
- Oral and Written communication skills are critical for this role.
- Well versed with MS Office, Excel, PDF Tools - mandatory requirement.
- Proficient with Microsoft O365 productivity tools (Word, Excel, Outlook).
- Proficient in auditing student records for compliance and review.
- Working knowledge of student information systems, document imaging software, document scanners and other associated hardware and software.
- Excellent interpersonal and organizational skills.
- Analytical thinking, accuracy and attention to detail.
- Ability to work independently or as part of a team.
